A morning in Superba

Your order desk no longer keys in. It approves.

Here is the approval queue as it looks at 9 am. Complete orders are approved in one click. The others are already being handled with the customer.

An order's journey

The 6 cases, from the incoming message to the delivered customer

An incoming order is never a single action. Here is what Superba chains together in each situation, and what is left to your order desk.

  • Superba reads and prepares
  • Superba acts: writes, inserts, sends
  • Your order desk steps in

Cas 1

Complete order, above the threshold

  1. Read
  2. Customer and references recognised
  3. Customer prices applied
  4. Inserted directly into the ERP
  5. Confirmation sent to the customer
  6. Sent to the delivery round
  7. Customer informed: prepared, out for delivery, delivered

Votre ADV : nothing. It sees the order go by in the log.

Cas 2

Complete order, below the threshold

  1. Read
  2. Structured
  3. Approval queue, 1 click
  4. Inserted into the ERP
  5. Confirmation sent
  6. Sent to the delivery round
  7. Delivery tracking sent

Votre ADV : one click. The order is already ready, with the original next to it.

Cas 3

Incomplete order

  1. Read
  2. Gap detected: date, quantity, address, reference
  3. Email or message written and sent to the customer, in your tone
  4. Answer received
  5. Order completed and re-scored
  6. Case 1 or case 2

Votre ADV : nothing until the customer answers. If the customer has not replied within 24 h, it is notified.

Cas 4

"The usual"

  1. Read
  2. Customer's last order retrieved
  3. Message sent: "Same order again, delivery Friday?"
  4. Answer received
  5. Case 1 or case 2

Votre ADV : nothing. The customer confirms, the order follows.

Cas 5

Anomaly

  1. Read and structured
  2. Discrepancy detected: unusual quantity, off-list price, duplicate, blocked customer
  3. Flagged to the order desk with context
  4. Decision: approve, correct, reject
  5. Then case 2

Votre ADV : one decision, with the file in front of it. Never a 40-case order leaving unseen.

Cas 6

Not an order

  1. Read
  2. Classified: question, complaint, return, price request
  3. Reply drafted or file prepared
  4. Order desk approval
  5. Reply sent

Votre ADV : rereads and approves the reply. Returns and credit notes arrive with the original order and the reason already found.

An order rejected by your order desk, a question left unanswered: $0. Every step above is time-stamped in your dashboard.

The confidence threshold

Who decides that an order enters the ERP on its own?

You do, with a confidence threshold. Every prepared order gets a score: customer recognised with certainty, references matched without ambiguity, quantities and prices consistent with history. Above the threshold you set (95% for instance), the order enters the ERP directly and the customer is confirmed. Below it, it waits for one click from your order desk. At the start, the threshold is at 100%: everything goes through you, and you lower it once the pilot figures reassure you.

Messages sent to customers

Who writes to the customers?

Superba. Question to the customer for missing information, order confirmation, delivery notice, reply to a return: every message is written by Superba, in your tone, from your channels. At the start, your order desk rereads every message before it is sent; then you switch to automatic sending, one message type at a time.

The difference

When information is missing, Superba does not create a task. It asks your customer.

An assisted data-entry tool

Reads the order, then waits for someone to deal with it.

  • Incomplete order: queued "to check" for the admin
  • No outgoing message
  • Stops at the export to the ERP
  • Returns, credit notes and disputes stay manual

Superba

Reads the order, writes to the customer itself, integrates it, and follows through to delivery.

  • Incomplete order: email or message written and sent to the customer, answer integrated
  • Direct integration into the ERP above the confidence threshold you set
  • Confirmation, dispatch and delivery tracking sent to the customer
  • Returns, credit notes and disputes prepared for the order desk, reply drafted

Self-assessment

How many of these steps does your order desk still do by hand?

Few manual steps. Superba may not be a priority for you.

Test it with your orders

3 to 5 of your orders are enough to see these cases on your real messages.
