Sales orders created in NetSuite from your customers' messages

NetSuite is your system of record for inventory, pricing and fulfilment. Superba sits in front of it: it reads the messages your wholesale customers send, prepares the sales order with your NetSuite customers, items and price levels, and creates it once your team approves.

Hook-up

How Superba connects to NetSuite

SuiteTalk REST web services, with an integration record in your NetSuite account and OAuth 2.0

  • NetSuite exposes its records through SuiteTalk REST web services. Superba uses an integration record created in your account, authorised with OAuth 2.0 (or token-based authentication where your account requires it), with a role limited to what Superba needs.
  • Superba reads your customers, their subsidiaries where relevant, their shipping addresses and price levels, and your items, to match what the customer wrote: a shop name, a blend, a varietal and vintage, a stem count or bunch size. Matching relies on item names and SKUs, then on the customer's order history.
  • The approved order is created as a NetSuite sales order, with the customer, the line items, quantities, the requested ship date and your usual form. Pricing is applied by NetSuite from the customer's price level and pricing groups; Superba does not force prices.
  • Fulfilment, invoicing and revenue stay in NetSuite as today. Superba creates the sales order and stops there, unless you enable the tracking option, in which case your customer is informed as the order moves through fulfilment.

In your ERP

What Superba creates and reads in NetSuite

What is created

  • Sales order in NetSuite with the customer, line items, quantities, requested ship date and the original message reference

What is read

  • Customers: company name, contacts, shipping addresses, price level, subsidiary
  • Items: name, SKU, unit, price levels
  • Inventory available by location, shown on the order before approval
  • The customer's past sales orders, to understand "the usual"

Limits and prerequisites

What to know before connecting, said frankly

  • Superba creates sales orders, it does not create customers or items and does not change prices. An unknown customer or an item missing from NetSuite is flagged to your team, who decides before approval.
  • Custom fields made mandatory on your sales order form, approval workflows and SuiteScript automations are configured with you during the audit, so that an order created by Superba follows exactly the path of one keyed in by hand.

Beyond data entry

What Superba does once the order is read

The question to the customer

A missing date, address or pack size: Superba asks the question, in your tone, from your channels, without the order desk having to chase.

"The usual"

Superba reads the customer's history and proposes their usual order, which your order desk approves at a glance.

Delivery tracking

With the tracking option, the customer is told when the order is prepared, out for delivery, delivered. No more "where is my truck?".

Onboarding

$3,300 excl. VAT, one-off: your connector, and an agent that talks like you

Onboarding is not just hooking up an ERP. It is when Superba learns your trade: your customers, their habits, your items and their nicknames, your way of answering. At the end you have an agent tuned for your house, not generic software.

  1. Step 1

    Audit of your flows

Two weeks to reread a month of real orders with your order desk: which channels they come from, in which formats, which customers write "the usual", which special cases keep coming back. Out of it comes a precise map of what Superba must know how to do for you.

  2. Step 2

    ERP connector

The hook-up to your ERP, your customers, your items, your prices, your stock, and the creation of orders where your team expects them. Tested on your real orders, not on a sample set.

  3. Step 3

    Tone and threshold tuning

Every message Superba sends your customers, missing question, confirmation, delivery notice, is written in your tone: your phrases, your level of familiarity, your signatures. The confidence threshold is set with you: above it, the order enters the ERP directly; below it, your order desk decides.

  4. Step 4

    Agent learning

Superba learns from your past orders and from every correction by your order desk: in-house abbreviations, implied pack sizes, the customer who always orders on Tuesdays, the one who wants a call before delivery. The more your team approves, the less it has to correct.

  5. Step 5

    30-day parallel pilot

Superba prepares every order while your order desk keeps keying in as today, and compares. At the review, you measure the share of orders ready without correction and the time given back. You go live or you stop, owing only the onboarding.
