Orders keyed into QuickBooks Online, without the retyping
A roaster's wholesale accounts text their weekly order, a florist's hotel clients email a list, a wine distributor's restaurants leave voice notes. Superba reads each one, matches it to your QuickBooks customers and items, and creates the document your team approves.

Hook-up
How Superba connects to QuickBooks Online
QuickBooks Online API from Intuit, over OAuth 2.0, with a connection you authorise from your own QuickBooks account
- QuickBooks Online exposes an official REST API from Intuit. Superba connects through it after you authorise the connection from your QuickBooks account, with OAuth 2.0: no password is shared, and you can revoke the access at any time from your Intuit settings.
- Superba reads your customer list, with their sub-customers and shipping addresses, and your products and services, to match what the customer wrote: a shop name, a blend nickname, a stem count, a case size. Matching relies on your item names and SKUs, then on the customer's past orders.
- Prices come from your QuickBooks items, or from the customer's usual price when your item has none. A price mentioned by the customer that differs from yours is flagged to your team before approval, never applied silently.
- Payments, deposits and the rest of your bookkeeping stay in QuickBooks as today. Superba only creates sales documents; it never touches your accounts.
In your ERP
What Superba creates and reads in QuickBooks Online
What is created
- Estimate in QuickBooks Online with the customer, the line items, quantities and the requested delivery date in the memo
What is read
- Customers and sub-customers: company name, contacts, billing and shipping addresses
- Products and services: name, SKU, sales price, unit
- The customer's past estimates and invoices, to understand "the usual"
Limits and prerequisites
What to know before connecting, said frankly
- Superba creates sales documents, it does not create customers or items. An unknown customer or an item missing from your list is flagged to your team, who adds it in QuickBooks or corrects the order before approval.
- QuickBooks Online does not track inventory by location or delivery route. Dispatch and delivery tracking happen in your tools or in Superba with the tracking option, not in QuickBooks.
Beyond data entry
What Superba does once the order is read
The question to the customer
A missing date, address or pack size: Superba asks the question, in your tone, from your channels, without the order desk having to chase.
"The usual"
Superba reads the customer's history and proposes their usual order, which your order desk approves at a glance.
Delivery tracking
With the tracking option, the customer is told when the order is prepared, out for delivery, delivered. No more "where is my truck?".
Onboarding
$3,300 excl. VAT, one-off: your connector, and an agent that talks like you
Onboarding is not just hooking up an ERP. It is when Superba learns your trade: your customers, their habits, your items and their nicknames, your way of answering. At the end you have an agent tuned for your house, not generic software.
Step 1
Audit of your flows
Two weeks to reread a month of real orders with your order desk: which channels they come from, in which formats, which customers write "the usual", which special cases keep coming back. Out of it comes a precise map of what Superba must know how to do for you.
Step 2
ERP connector
The hook-up to your ERP, your customers, your items, your prices, your stock, and the creation of orders where your team expects them. Tested on your real orders, not on a sample set.
Step 3
Tone and threshold tuning
Every message Superba sends your customers, missing question, confirmation, delivery notice, is written in your tone: your phrases, your level of familiarity, your signatures. The confidence threshold is set with you: above it, the order enters the ERP directly; below it, your order desk decides.
Step 4
Agent learning
Superba learns from your past orders and from every correction by your order desk: in-house abbreviations, implied pack sizes, the customer who always orders on Tuesdays, the one who wants a call before delivery. The more your team approves, the less it has to correct.
Step 5
30-day parallel pilot
Superba prepares every order while your order desk keeps keying in as today, and compares. At the review, you measure the share of orders ready without correction and the time given back. You go live or you stop, owing only the onboarding.
WhatsApp Business opened and verified for your company, email and SMS channels connected, team trained on the approval queue. Delivery-round connector: $1,650. Complex ERP or EDI: $6,600.

FAQ
Frequently asked questions
Yes. Nothing changes for them. Your inbox is copied in, and your WhatsApp or SMS number is connected to Superba. They order the way they always have; the difference is that nobody retypes it.
Superba reads the sub-customers and shipping addresses in QuickBooks. When a customer has several, and the message does not say which, Superba asks them, in your tone, before preparing the order.
You decide, with a confidence threshold. Above the threshold, the order enters the ERP directly; below it, your order desk approves it in one click. At the start, most companies set the threshold at 100%: everything goes through the order desk.
Nothing. Same email address, same number, same habits. Your inbox is copied in, your WhatsApp number is connected through Meta's official API.
